Design a project that progresses between meetings

Begin discovery with a process walkthrough, a list of current tools and a named decision-maker for each business area. Capture open questions in a shared decision record, with enough context for someone to answer during their own working day. For a small team, the same person may own sales and delivery; systems consulting should make those responsibilities visible without adding unnecessary administration. Agree which issues can wait and which require a scheduled live discussion.

Give each customer handoff a complete record

A pilot could follow an enquiry from qualification to an approved quote and an operational handover. Define the information needed at each stage, the owner and the condition that makes the next step ready. Business process automation can prompt the owner when something is missing rather than silently progressing incomplete work. If colleagues also work in Australia or elsewhere, keep cross-border responsibility explicit so a change of working day does not become a change of accountability.

Use integrations that can be reconciled

Connecting the CRM to finance, scheduling or reporting tools requires agreement on identifiers and ownership of each field. Confirm how dates, amounts, duplicate records and cancellations should move between systems. Build a visible recovery path for failed integrations and avoid assuming that a retry is harmless. AI automation can assist with approved summaries or classification, while rules, validation and human review govern actions that could change a customer commitment or a financial record.

Agree access and international data handling

List where records, files, prompts, logs and backups are stored or processed, including the access needed by a South African delivery team. Ask your responsible advisers to review relevant transfer, contractual and sector requirements before live information is used. Set permissions to the work being performed and choose appropriate test data. A remote implementation is not a promise of New Zealand-only processing, and selecting a private or hosted tool does not by itself establish security or compliance.

Make rollout and support workable locally

Plan demonstrations, training and release reviews around confirmed time-zone overlap, accounting for seasonal clock changes where relevant. Role-specific instructions help people learn without attending every session. Before implementation ends, agree who administers the system, who approves changes and how a failed automation is reported. Support arrangements should state available windows and escalation expectations clearly. Your team should know which issues it can resolve itself and which need help from us or a software provider.

Start with one workflow and one owner

Share your current systems, team locations, working hours and the workflow that is hardest to keep moving. A redacted example of a stalled enquiry, repeated data entry or a missed handover is more useful than a long feature wish list. We can then discuss a focused discovery and implementation scope.
