PLATFORM IMPLEMENTATION
HubSpot workflow automation and CRM handover
Audit and implement HubSpot workflows with clear enrolment, lifecycle properties, consent boundaries, integration recovery and team acceptance tests.
Start with the customer journey and authoritative record
CompanyConnect helps South African and international teams plan and implement HubSpot workflow automation around an agreed operating process. Start with one journey, such as assigning a qualified enquiry to an accountable sales owner. Identify where that enquiry originates, which record holds the customer relationship and what the next team must receive. A workflow should make these responsibilities clearer. It should not conceal uncertain qualification decisions or replace a conversation about what the business needs. Discovery records the current friction, affected users, available accounts and a measurable baseline before configuration begins.
Define lifecycle stages, properties and data ownership
Agree the meaning of lifecycle stages and the separate statuses used for sales or service work. Document which properties drive enrolment, their allowed values, required fields and the person authorised to change them. Identify the source of each property and whether imports or integrations can overwrite it. A customer record and an associated company or deal may carry different responsibilities. Resolve those relationships before automating movement. Record how duplicates are identified and held for review, rather than assuming an email address alone resolves every identity or relationship question.
Control enrolment, re-enrolment and suppression
Specify the initial trigger and which existing records, if any, should enter when the workflow is enabled. Re-enrolment needs a deliberate decision: a property update should not accidentally restart every follow-up sequence. Define exclusions, suppression conditions and unenrolment behaviour for customers who no longer fit the process. Check how waiting records behave when eligibility changes. Review the active population with representative records before rollout. A short trigger specification should explain what enters, what stays out and what happens to an already enrolled record when an administrator changes the rules.
Make branching and follow-up ownership visible
Each branch needs a stated condition, an expected destination and a safe route for missing or contradictory information. Avoid an undocumented default branch that sends incomplete records into a live customer sequence. Confirm owner availability, assignment rules and escalation when an owner is absent. Follow-up tasks need a due date, useful context and a way to confirm completion. Test a record with no assigned owner and one that changes ownership during a delay. Distinguish an internal task from a customer-facing communication; both may be workflow actions, but their approval and consent requirements differ.
Keep marketing consent separate from an enquiry
Providing a work email to discuss an implementation does not by itself grant permission for a marketing subscription. Review the contact purpose, subscription settings and communication permissions separately. Workflow design must respect the permissions and applicable requirements for the specific message and audience. Do not turn an internal enquiry handoff into an automatic campaign enrolment. Record which actions require a human decision and who is accountable for that decision. Use sanitised test records and approved destinations while validating the workflow; real customer communications should not be a side effect of a configuration demonstration.
Connect HubSpot to monday.com or Make.com where justified
An integration can pass an approved commercial handoff to a monday.com delivery board or use Make.com for a supported multi-system route. First check whether existing native features meet the requirement. Define field mappings, stable identifiers, direction of updates and the authoritative record for each field. Do not create competing writers for the same status. A repeated handoff should refer to the original destination identifier. If the destination times out after a possible write, check it before retrying. Licence limits, API permissions and connector actions must be confirmed in the actual customer accounts.
Audit existing workflows before migration
Inventory active workflows, triggers, dependent properties, lists, integrations and owners. Identify overlapping actions, loops, stale branches and undocumented exceptions. Preserve the current configuration and agree a cutover point so old and replacement workflows do not process the same record unintentionally. Review enrolled and waiting records separately from future entrants. The migration plan should name pause conditions, reconciliation checks and a correction approach. Scope and cost depend on workflow count, branching complexity, data cleanup, connected applications, permissions, testing and training. Software subscriptions and ongoing support should be itemised separately from implementation work.
Use a sample acceptance matrix and handover checklist
For an illustrative enquiry pilot, test an eligible record, an excluded record, missing required data, a repeated trigger, re-enrolment, an absent owner and a failed integration. Agree the expected result before each test: one appropriate task, no unintended customer communication, a visible exception or no action. Retain configuration and readback evidence with the test record identifiers. Handover includes the trigger map, property dictionary, branch diagram, permissions, recovery instructions, named operators and a change log. Agree who monitors exceptions, the support period and how later changes are approved. Measure response time and unresolved exceptions against the initial baseline without promising an unmeasured return.
Check account capabilities and test before switching on
Available workflow objects, actions and permissions depend on the HubSpot account and subscription. Confirm access with the customer administrator before committing to a design. HubSpot’s workflow creation documentation explains these dependencies, and its workflow testing guide supports reviewing records and paths before activation. Ask whether the first engagement should be an audit, a repair or a bounded new pilot. Bring a sanitised process description to the consultation; passwords and private customer exports are not needed in an initial enquiry.
